Purchase reports

These reports sit under Purchases & Payables on the Reports hub. They read bills, not posted journals. Free and Starter lock this group; Beta includes it. Hub locks and export are in Open reports. Expense on the books is Financial statements.

Before you start

You need bills or payments already saved. How to record and pay is Record a bill and Pay a supplier.

Bills Report

Date range is bill date (defaults to This Month). There is no location filter. Draft, cancelled, and voided bills are excluded.

Columns: bill number, supplier, bill date, due date, total, paid, balance, and payment status (unpaid, partially paid, or paid). In the app, bills are still purchase invoices — the number prefix is still PI- unless you changed it.

Purchases by Supplier and Purchases by Product

Both use an as-of date (cumulative through that date). Location is optional on the bill. Draft, cancelled, and voided bills are excluded.

What each total is

ReportEach row
Purchases by SupplierSupplier, number of bills, sum of bill totals, last bill date
Purchases by ProductProduct code and name, quantity purchased, sum of line totals, last bill date. Lines without a product show as Unassigned

Inventory bill lines still count here as purchases. On P&L they may sit in inventory until you sell — see Sales and purchase posting accounts.

A/P Aging

As of date and optional supplier. No location filter. Summary (by supplier — default) versus detailed (by bill).

A row appears when the bill date is on or before the as-of date and remaining balance is greater than zero. Buckets use days past due date: Current, 1–30, 31–60, 61–90, over 90. This is bill balances, not the AP account on the ledger.

How to use the two views

ViewUse it to
Summary (by supplier)See who you owe, split into buckets
Detailed (by bill)See bill number, dates, original total, and which bucket the balance sits in

Paid bills drop off when balance is zero. A draft bill that still has a balance can still appear.

When this disagrees with P&L

Bills Report excludes drafts; P&L needs a posted purchase journal. Inventory purchases can swell this report without hitting expense. A disbursement journal you typed (rent without a bill) can hit P&L with no Bills Report row. Supplier payments reduce A/P Aging; they do not by themselves create a new expense.
