Set up your organization

An organization is the workspace where invoices, bills, and books live. Signing up without an invite already creates one — often named My Organization or {Name} Org. It already has a starter chart of accounts, units, categories, tax types, and Admin and Member roles. Complete the three tabs. You do not need to rebuild the lists from scratch.

How to open it

Two doors open the same three tabs. Save Changes covers all of them.

How to open it

StepClick
1Settings → Organization. Lands on Tax Configuration
2Or organization switcher → Settings. Lands on Basic Information
3Tabs: Basic Information, Tax Configuration, Business Registration

Before you start

The Owner can always open this screen. Anyone else needs the Organization Settings permission — see Invite your team.

A workspace created at signup starts on Beta for 90 days. If you joined from an invite, you complete this workspace’s profile — you do not get a second personal org. How the invite works is in Create your account.

The three tabs

TabWhat you set
Basic InformationName people see, plus address and contact on invoices and reports
Tax ConfigurationBusiness entity, VAT vs Non-VAT, default tax type, percentage tax, income tax
Business RegistrationBIR RDO, Tax ID (TIN), registration number, industry, founded date

Basic Information

Rename the workspace here if Seedflow used My Organization or {Name} Org. Only Organization Name is required. Email and website, if you fill them, must be valid.

Basic fields

FieldRequiredWhere it shows
Organization NameYesInvoices, bills, reports, the organization switcher
DescriptionNoOn this form only
LogoNo — upload, max 5MB, square recommendedStored on the workspace. Invoice and report PDFs do not print the logo today
AddressNoInvoice and report headers
Phone, email, websiteNoInvoice and report headers
Contact PersonNoStored here. The contact line on an invoice is the document’s contact, not this field

Tax Configuration — fill in this order

Open Tax Configuration. Pick Business Entity (searchable list of nine types). Seedflow then suggests VAT Registered or Non-VAT and fills the panels under the cards. You can still change classification after that — including for Non-Profit Organization / NGO, which defaults to Non-VAT but can be VAT registered.

Each card has Learn more for the BIR idea behind it. Use those panels instead of treating this guide as a tax circular. Then Save Changes.

What Seedflow suggests when you pick an entity

Business entityDefault classification
Corporation, Branch of Foreign Corporation, GOCCVAT Registered, percentage tax off, flat income tax hinted at 30%
Sole Proprietorship, Partnership, Cooperative, LP, LLPNon-VAT, percentage tax on (often 3%), Graduated income tax
Non-Profit Organization / NGOSame Non-VAT default as sole prop. VAT Registered is allowed if that is how you are registered

If you are VAT registered

Default Tax Type is required. A new workspace already has VAT 12% (code VAT12) and Zero-rated VAT. Keep VAT 12% unless your registration uses a different rate. You can still override the type on a product or a line later.

Tax Inclusive is on by default: the price already includes tax. Turn it off if tax should be added on top. That is the workspace default; an invoice can still change Tax price basis.

Income tax on the VAT path

EntityIncome tax cards
Corporation, foreign branch, GOCCBoth Graduated and Flat rate. Flat is the suggestion; enter a rate (the form hints 30%). Confirm the current corporate rate
Every other entity, including NGOGraduated only. Flat is disabled. The individual 8% option is not this path

If you are Non-VAT

Default tax type and tax inclusive do not apply. You get Percentage tax (switch and rate) and Income tax.

For sole prop, partnership, cooperative, LP, LLP, and NGO, the switch and the income-tax cards stay locked together: percentage tax on (often 3%) with Graduated, or percentage tax off with Flat rate (hinted at 8%). That off + 8% path is Seedflow’s stand-in for the TRAIN election — confirm you qualify.

Non-VAT exception

EntityWhat is different
Corporation, foreign branch, GOCC on Non-VATBoth income-tax cards stay enabled. Percentage tax and flat 30% can both be on. Do not assume the 8% lock from the sole-prop path

What Tax does not set

Output VAT and input VAT are accounts, not switches here. When a VAT line posts, sales tax goes to the output VAT account and purchase tax goes to the input VAT account. Set those in Sales and purchase posting accounts. A product can override them later.

This tab does not file BIR returns, compute tax payable, or post journals. Tax calendar only uses this profile for reminder dates (VAT vs percentage-tax forms, 1701 vs 1702). Percentage tax on gross is a Non-VAT setting — do not look for an output VAT account on that path.

Business Registration

None of these fields are required to save. They do not decide VAT vs Non-VAT — that stays on Tax Configuration. Tax ID is not the same as a customer’s or supplier’s Tax ID.

Another organization

Add organization opens Add Organization: Organization Name (required) and description (optional), then Create Organization. You become that workspace’s Owner. It gets the same starter lists and starts on Beta.

Creating another workspace needs the Organizations permission (Owner already has it). Each organization has its own Basic, Tax, Registration, members, and books. Switching in the header changes which books you are in — it does not merge them.
