Bank reconciliation compares your bank statement to the bank GL account in Seedflow. The bank is a chart-of-accounts item with Bank account turned on — there is no separate Banks module and no statement import or bank feed yet. You need the Bank Reconciliation permission — see Invite your team.
The list shows existing sessions. One in progress session per bank — if one already exists, Start opens that session instead of creating a second.
How to open it
| Step | Click |
|---|---|
| 1 | Accounting → Bank Reconciliation |
| 2 | Start reconciliation |
On Settings → Accounting → Chart of Accounts, turn on Bank account for each real bank you will reconcile (seeded: Main Bank Account, Collection Account). Cash on Hand and Petty Cash are for reporting; they do not have to be reconciled. Details are in Accounting settings and chart of accounts.
Receipts and supplier payments only match here if the journal line is on that bank account. Check Settings → Purchases → Disbursements (Payment Account) and any Receipt Journals you typed. See General ledger if you need to confirm the account first.
Pick the bank, then enter the statement ending date and statement ending balance exactly as the bank printed them — Seedflow does not calculate those from the ledger. Opening balance is filled for you: the ending balance of the last completed session on that bank, or ₱0.00 the first time. You can edit opening, ending date, and ending balance later while the session is in progress.
The list shows bank, ending date, ending balance, difference, cleared count, and status. Expand a row for a preview, or Continue / View.
Session status
| Status | What you can do |
|---|---|
| In progress | Add lines, match, exclude, edit statement figures, complete when difference is zero |
| Completed | Read only. Its ending balance becomes the next session’s opening. There is no uncomplete |
Inside the session, Add transaction. Date and description are required. Amount must be greater than zero. Direction is from the bank’s point of view. Reference and running balance on the line are optional. Source is always manual today.
Credit vs debit on the statement
| Direction | Meaning | What it should match on the bank GL |
|---|---|---|
| Credit (money in) | Deposit, incoming transfer, customer receipt on the statement | A debit on the bank account (the asset went up) |
| Debit (money out) | Withdrawal, cheque, supplier payment, bank charge | A credit on the bank account (the asset went down) |
Tabs filter All / Unreconciled / Reconciled / Excluded. Adding a line does not change Difference until you Match or Create & match it.
Select a statement line. The right pane lists posted journals that already have activity on this bank GL and are not matched on this bank. The default date window is 30 days either side of the statement date — widen the filter if the journal is older. Search matches JE- number, reference, description, customer, or supplier.
Select one or more candidates so their amounts equal the statement line (you can split one deposit across several journals). Match stays disabled until they do. A journal already used on this bank will not appear again.
If there is no journal to pick
| Situation | What to do |
|---|---|
| The cash is already in Seedflow on this bank account | Widen the date filter or search the JE- number. Drafts cannot be matched — post the journal first |
| Customer paid the invoice, but there is no Receipt Journal | Create on the line, or enter a Receipt Journal yourself, then match |
| Bank fee, interest, or a transfer that has no document | Create (Create & match): pick an offset account (not the bank). Seedflow posts a General Journal and marks the line reconciled |
| Supplier payment should already have a disbursement journal | Confirm auto-post and Payment Account in Pay a supplier. Do not Create a second journal for the same cash |
Create is only for unreconciled lines. Offset cannot be the same bank account. Unmatch puts the line back to unreconciled and frees those journals. Completed sessions cannot unmatch.
Exclude drops the line out of matching (and clears any match). Excluded lines do not move the cleared balance, so they do not help Difference reach zero. Use Exclude for duplicates you typed by mistake, or lines that do not belong on this statement — not as a way to ignore a real bank movement you still need on the books.
Restore puts an excluded line back to unreconciled.
Cleared balance = opening + matched credits − matched debits. Difference = statement ending − cleared balance. Complete reconciliation is enabled only when Difference is within ₱0.01 of zero. Unmatched or excluded lines do not have to be gone — they simply never entered the math.
Why Difference is not zero
| Likely cause | What to do |
|---|---|
| Statement lines not matched yet | Match them to existing journals, or Create & match bank fees and missing receipts |
| Opening is wrong (first month, or a prior session ended on the wrong figure) | Edit Opening balance to the statement’s opening / last completed ending |
| You typed the wrong statement ending | Edit Ending balance to match the paper statement |
| You matched the wrong journal or created a duplicate General Journal | Unmatch. Void or reverse the extra journal if you created one — see Documents vs journal entries |
After complete, start the next period the same way. Opening should already be last month’s ending. There is no undo.
